CAMPSITE BOOKING TERMS AND CONDITIONS

1 Contract

1.1 These terms and conditions (the “Terms”) and our price list set out the entire agreement between you and Valley Farm Equestrian Leisure (which is the trading name for Ling-Robertson Limited) ("we" "us" or "our") for the supply of our services to you. Only these terms shall apply to our contract with you.

1.2 Please check that the details in these terms and conditions and your Booking Request are complete and accurate before you submit your Booking Request.

1.3 By submitting a Booking Request you are deemed to have accepted these terms.

1.4 We reserve the right to change these Terms at any time and any such changes will take effect immediately when posted on the Website, at the Sites, or otherwise brought to your attention.

1.5 In addition to these Terms, you must comply with the Campsite Rules which are posted at our campsite and also available below under Rules.

2 Making a Booking

2.1 You can either book by email sarah@valleyfarm.co.uk or via the telephone on 01728 746916.

2.2 Bookings are not transferable to another party.

2.3 When making a booking you agree that you or at least one member of your party is twenty-one (21) years or over, you have the authority of all persons in your party to book on their behalf, you accept these Terms & Conditions and you agree to be responsible for any loss or damage caused by any member of your party.

2.4 Advance bookings may at times be subject to minimum stay periods.

2.5 Bookings over the weekend need to be made for at least a Friday and Saturday night, and three nights over a bank holiday weekend.

2.6 The site is to be used for recreational camping only.

3 Rules

You, together with all members of your camping party, are required to comply with the following rules:

3.1 We reserve the right of admission. We only accept responsible campers that are considerate to fellow campers and respectful of the environment.

3.2 No loud noise/music after 10.30 in the evening.

3.3 Love the campsite, leave no trace.

3.4 No unsupervised youths below the age of 21.

3.5 No hen/stag parties or weddings. Please call for large bookings.

3.6 Drunk and disorderly behaviour will not be tolerated. We reserve the right to ask you to leave should this occur. Please book elsewhere if this is your intention.

3.7 We cannot accept responsibility for your possessions or any personal injury sustained while camping or using fire-pits.

3.8 Check in is from 2pm. Please let us know if you expect to arrive later than 6pm. Checkout is by 11am. Pitches are allocated by us.

3.9 You are liable at all times for any BBQs and other activities undertaken at the campsite.

3.10 All paddocks containing animals have live electric fences. Do not enter the animal paddocks.

3.11 Owners must clear up after their dogs. Do not let dogs off leads.

3.12 Pitches are for up to 5 people staying overnight. Any additional day guests must pay the usual daily visitor rates.

4 Prices

4.1 The prices are based on a daily rate unless otherwise stated. Prices include VAT at the current prevailing rate.

4.2 Whilst we will make every effort to ensure that our prices remain unchanged, they may be amended at any time.

4.3 Prices do not include any additional services, features and facilities unless expressly stated.

4.4 Promotions, deals or discounted offers are subject to availability and cannot be used in conjunction with any other offer or discount and may be withdrawn at any time. Retrospective refunds are not permitted against any offer or promotion advertised after such time a booking is made.

5 Payment

5.1 Payment for bookings can be made by Cash, Credit, Debit Card and BACS. Unfortunately we cannot accept payment by cheque.

6 Cancellation and changes to your booking

6.1 If you need to amend your booking, you must notify Valley Farm Equestrian Leisure as soon as possible. Subject to availability and the conditions in 6.2 to 6.4, amendments to your booking can be made less an administration fee of £5. Transferred dates must be within the same booking season.

6.2 30 days or more before arrival date - The booking can be amended or cancelled with a full refund less administration fee of £10.00

6.3 29 days to 15 days before arrival date - The booking can be amended or cancelled with a 50% refund

6.4 Less than 15 days before arrival date - The booking cannot be cancelled or amended. In either situation, no refund will be given.

6.5 If we have to cancel your booking we will offer you a full refund of any fees paid or the option of an alternative pitch/site of a comparable standard (with you paying any additional cost or receiving a refund in respect of a price difference). No other compensation is available. Please ensure you have adequate travel insurance in place to cover your costs if you need to cancel your booking at short notice.

6.6 You must pay any outstanding balance on your booking and any additional fees before pitching.

7 Liability

7.1Please read this section as it is important that you understand what you are agreeing to

7.2 Nothing in this section limits or attempts to limit our liability for death or personal injury caused by our negligence or for fraud or fraudulent misrepresentation, or for any other matter for which it would be illegal or unlawful for us to exclude or attempt to exclude our liability.

7.3 If we fail to comply with these Terms and Conditions we are responsible for loss or damage you suffer that is a direct and foreseeable result of our failure or our negligence. We shall not be responsible for any losses that you suffer that are indirect or not foreseeable, including, but not limited to, loss of income or revenue, loss of business and loss of anticipated savings.

7.4 Where we are responsible for your loss, our maximum liability shall be no more than to refund the amount paid by you for the holiday.

7.5 As our Site is located in a rural environment, we do not accept responsibility for any damage, injury or inconvenience caused by plants, trees, insects, farm animals or wildlife.

7.6 We do not accept responsibility for anything that adversely affects your holiday that is outside our control.

7.7 These Terms and Conditions are governed by the laws of England and Wales.

 

Camp Site Notes

Welcome to Valley Farm Campsite.

Book in /out times.  Check in is after 2pm and checkout is 11am. Cars to be escorted by an adult on and off the site through the equestrian centre.

FACILITIES
The unisex toilet and shower block is located in the last building on your left as you approach the campsite.
The chemical disposal point is opposite this.
There is a drinking water tap on the fence just at the entrance to the toilet and shower block. NB: our water is pressurised so comes out of the tap containing white air bubbles.
Washing up stations are at both ends of the shower block.
There is a vending machine at the entrance to the shower block.


CAMPSITE
Please keep the gates to the site closed at all times when not in use to prevent any stray animals entering the site.
The electric hook ups are on the left as you enter.  Pitches are to either side of the hook up posts.

PLEASE NOTE – E.H.U. are 10amp – overloading it will ‘trip’ the electric.

Please ensure you remain within your pitch area and comply with campsite fire regulations.

No open fires are permitted at ground level.  Raised firepits are allowed if correctly supervised and extinguished.
Please keep noise to a minimum after 10.30pm to allow children to rest.  No loud music.


CARS & TRAFFIC
Cars are permitted onto the campsite for the purpose of unloading.  They can then be parked on the site or removed to the main public carpark.  (One car per pitch)  Cars are unable to access the yards during peak times due to horse and children movements.  Therefore if you wish to take your car out during the day please park on the main public car park. Campsite traffic (unless departing or arriving) is only allowed access to the yards after 6pm or before 8am.

DOGS
Are permitted.  They must remain under control and on leads at all times.  Failure to do so may require the dog to be removed from the site.  Poultry is free range and if eaten/killed by visiting dogs is very expensive for the dog’s owner.
A dog poo box is situated at the entrance to the campsite. Please pick up after your dog.  Children play on the site.
There are dog walks all around the farm.  Be mindful of the electric fences.  There are rest benches on the walks to sit and watch the wildlife.  The walks are also used by riders with horses and farm machinery so please be mindful of this.


CAFÉ
The café is located on your right when you arrive at the centre. Charlotte will be happy to supply you with meals in house or to take away.  Normal opening hours are 9-4 daily.  Special orders to be delivered to your pitch may be arranged with Charlotte.

EQUESTRIAN CENTRE
The horses are fetched in from the fields between 8 -8.30 am and returned to the fields around 4-4.30pm.
Many people like to watch the herds running in/out and this can be done from behind the campsite gate.
Children are not permitted onto the tracks when the horse herds are loose.  So please keep this in mind when heading for the shower/toilet block.
Riding lessons, hacks, children's walkouts etc. may be booked with the office prior to arrival or during your stay if ponies and staff are available.  Details available from reception. Register at valley-farm.ecpro.co.uk


OTHER ANIMALS
Alpaca walks, goat walks and Animal Tours may be booked prior to arrival or during your stay if staff are available.  Details available from reception.

PLAYGROUNDS
Are located beside and in front of the café.  Children must be supervised by a responsible adult.

GENERAL INFO
Please put rubbish in the dustbins provided or take it home with you. We ask you to leave the site a nice place for nature, for the animals and for our next guests.

Please do not feed the animals.
Abide by all fire regulations and H&S.
Comply with requests from staff.
Please do not allow unaccompanied children to roam the horse yards.
Do not enter fields without staff permission.  There are walking tracks around the outside of fields.  Leave all track gates as you found them.
